1. Scope
This policy applies to visits to the public ProofsCheck website and to business enquiries a visitor chooses to send. It does not describe customer-document processing in the ProofsCheck application.
Use the public site for business enquiries only. Do not submit documents, credentials, confidential information, patient-identifiable information or protected health information.
2. Information involved
Information you choose to provide
The demo form asks for a name, work email, organization, workflow category and an optional high-level description. When a visitor selects “Book a demo,” those fields are sent to a restricted website endpoint so the enquiry can be delivered to the ProofsCheck team by email.
Vercel processes the request to the website endpoint. When email delivery is enabled, Resend and the recipient’s email provider also process the submission and related delivery metadata. The form does not ask for or accept document attachments.
Technical request data
When someone visits the site, the hosting and network services used to deliver and protect it may receive technical data such as IP address, browser and device details, requested page, timestamp, referring page and security or diagnostic events.
3. Why information is used
Business enquiry information may be used to respond, understand the proposed comparison workflow, arrange a conversation, maintain necessary business correspondence, prevent misuse and protect the website. Technical request data may be used to deliver the pages, maintain availability, troubleshoot and protect the service.
ProofsCheck does not use the public demo form to collect customer documents or to run a comparison.
4. Service providers and disclosure
Vercel provides hosting, content delivery and the server-side endpoint for the public website. The endpoint is designed to use Resend for transactional email delivery once that service is enabled. Until then, the form reports that delivery is unavailable and does not send the enquiry to Resend or the configured inbox. When enabled, Resend and the recipient’s email provider process data under their own terms and may use infrastructure in more than one country.
Information may also be disclosed where necessary to comply with a lawful request, protect rights or safety, investigate misuse, or complete a business transaction subject to appropriate safeguards. ProofsCheck does not add advertising or behavioural-tracking providers to the current site.
Application hosting, document-processing providers and subprocessors are outside this website notice and must be identified in the applicable pilot or customer terms before customer documents are processed.
5. Retention and deletion
The public website does not write demo-form fields to a ProofsCheck site database. The submission is transmitted through Vercel and, when email delivery is enabled, through Resend to the configured inbox. Those providers may retain message content, delivery records, technical request data or security logs under the applicable account settings, operational rules and agreements.
ProofsCheck email correspondence is retained only for as long as needed to handle the enquiry, maintain necessary business records, address disputes and meet applicable legal obligations.
Application documents, derived evidence, results, review history, logs and backups require separate, documented retention and deletion rules in the relevant pilot or customer arrangement. This website does not promise immediate or universal deletion of those records.
7. Your choices and requests
Depending on location and applicable law, a person may have rights to ask about, access, correct, delete, restrict or object to certain handling of personal information, or to complain to a privacy regulator. These rights can have legal exceptions.
Use the contact section for a privacy request and describe the request without including sensitive material. Identity may need to be verified before a request is completed.
8. Children
The website is directed to organizations and professionals evaluating a business service. It is not intended for children to submit personal information.
9. Changes to this policy
This policy may be updated when the website, providers or legal requirements change. The “Last reviewed” date will be updated when a revised notice is posted.
